VIP: How-To Set Up a New or Re-Flashed Poly E-Series Device for Crexendo

Goal

  • Get a new or re-flashed Poly E-Series phone connected and registered to the Crexendo system.

Prerequisites

  • Poly E-Series device is powered on (PoE or power adapter)
  • Device is connected to the network (Ethernet recommended)
  • Network allows the phone to reach the internet / Crexendo provisioning

Overview

This guide will walk you through setting up Poly E-Series devices that are new or have been flashed from/to Crexendo. After the phone completes initial setup screens (language, network, time, agreements), it will connect to Crexendo and register automatically.

What to Expect During Setup

  • The phone may prompt you to confirm Language, Time, Network, and EULA/TOS.
  • These screens do not always appear in the same order.
  • In general: move through the prompts, accept agreements where applicable, and continue until the phone completes setup.

Step-by-Step Setup

1) Power on the device and start the initial prompts

Plug in the phone and connect it to the network. When it boots, follow the on-screen prompts to confirm basic setup items like language and network.

2) Set an Admin Password (temporary)

When prompted, set an admin password. Note: This password will be overwritten after provisioning is complete.

3) Select the Network Connection

Choose the appropriate network connection option when prompted.

4) Select the Time Zone

Select the correct time zone for your location.

5) If you see an unexpected page, select Cancel

If you encounter the screen shown below during setup, choose Cancel to continue.

6) Accept the Poly EULA / Terms of Service

Agree to the EULA/TOS from Poly to proceed.

Important: The setup screens may appear in any order.

  • Move through each prompt as it appears
  • Accept agreements when prompted
  • Continue until the phone finishes the initial setup

Confirm the Device Has Reached Crexendo

After completing the prompts, the device will connect to the Crexendo system. Once it checks in, it should come online and register.

 

Troubleshooting

The phone keeps looping through setup screens

  • Ensure the phone has an active network connection (Ethernet recommended).
  • Confirm you accepted the required agreements (EULA/TOS).
  • Reboot the phone after confirming the correct network connection.

The phone never registers / doesn’t show in Crexendo

  • Verify the network allows the device to reach Crexendo provisioning (no firewall blocks).
  • Try a different network port/cable or confirm PoE power.
  • Restart the phone and complete prompts again.

FAQ

Do the setup screens always appear in the same order?

No. The phone may display language, time, network, and agreement screens in different orders. Continue through them and accept required agreements.

Will the admin password I set during setup remain?

No. The admin password set during initial setup is temporary and will be overwritten after provisioning completes.

What should I do if I hit an unexpected page?

If you see the unexpected screen shown in this guide, select Cancel and proceed through the remaining prompts.
