VIP Meetings User Guide

Discover essential tips and best practices for effectively managing VIP meetings to enhance engagement and productivity.

The Crexendo VIP Meetings platform provides high-definition video meetings for 1:1 sessions, team meetings, and webinars. This guide shows all users how to access VIP Meetings, start/schedule/join meetings, use key in-meeting tools, and integrate VIP Meetings with Outlook.

What You’ll Need

  • Your Crexendo VIP credentials (for signed-in access)
  • A meeting link or access code (for guest access)
  • Optional: Mobile device with the Crexendo VIP Mobile App and/or Crexendo VIP Meetings App
  • Optional: Microsoft Outlook / Office 365 (for Outlook add-in scheduling)

Accessing VIP Meetings

Option A: From a Web Browser

  1. Go to https://www.meetings.crexendovip.com (or your company’s VIP Meetings URL, for example: acme.meetings.crexendovip.com).
  2. Log in using your Crexendo credentials, or select the option to join as a guest using an access code or meeting link.
 
 

Option B: From the Crexendo VIP Portal

  1. Log in to your Crexendo VIP Portal: https://portal.crexendovip.com
  2. Select Apps (upper-right), then choose VIP Meetings.
 
 

Option C: From a Mobile Device

Method 1: Using the Crexendo VIP Mobile Application

  1. Open the Crexendo VIP Mobile App.
  2. Select VIPMenu from the navigation bar.
  3. Select VIP Meetings.

Method 2: Using the Crexendo VIP Meetings Application

  1. Download Crexendo VIP Meetings from the Apple App Store or Google Play Store.
  2. Open the app and do one of the following:
    • Guest: Enter the meeting access code
    • Signed-in: Log in using your Crexendo VIP credentials

Note: If you have both the Crexendo VIP Mobile App and the Crexendo VIP Meetings App installed, you can choose to automatically open the Meetings app when selecting VIP Meetings from the Crexendo VIP Mobile App.

 
 

 


Start, Schedule, or Join a Meeting

From the VIP Meetings main menu, you’ll typically see three primary actions: Start, Schedule, and Join.

Start a Meeting Now

  1. Select Start.
  2. Your meeting begins immediately.
  3. Use the on-screen invite options to:
    • Invite internal users, or
    • Copy the meeting link and share it (for example, via email or chat).

Schedule a Meeting for Later

  1. Select Schedule.
  2. Enter meeting details:
    • Title
    • Date and Time
    • Optional: Description / agenda
  3. Choose any optional settings (as available), such as:
    • Recurring meeting
    • Automatically record
    • Other collaboration tools (if enabled)
  4. Select Next.
  5. Add attendees:
    • Select internal users, and/or
    • Enter email addresses to send invitations
  6. Select Next.
  7. Select a dial-in number (if needed), then select Next.
  8. Review the meeting summary and select Schedule.

Join a Meeting

  1. Select Join.
  2. Enter the access code when prompted.
  3. Select Join to enter the meeting.

Options Within a Meeting

VIP Meetings includes several in-meeting controls. The most common options are listed below.

  1. Meeting Information – View meeting length, participants, and meeting details. Copy details to share with others.
  2. Meeting Settings – Adjust audio/video, virtual background, and meeting mode (participation style for attendees).
  3. More – Access additional details/settings, recording options, background options, incoming video options, and connection quality.
  4. Breakout – Split attendees into breakout rooms for discussion and collaboration.
  5. Record – Record audio-only or audio/video, with transcription options (if available).
  6. Whiteboard – Open a shared whiteboard with editing tools.
  7. Share – Share screen, specific files/media, or an additional camera feed (options may vary).
  8. Miscellaneous Options – Toggle audio/video, use reactions (emoji/raise hand), and end/leave the meeting.
  9. Invite Participants – Invite others via copied invite, phone invite, or contacts.
  10. Participants – View attendees; moderators may mute individual users or mute all participants.
  11. Chat – Use public chat for all participants or private chat with individuals.
  12. Poll – Moderators can create polls for attendees.

Install the VIP Meetings Outlook Add-In

Important: Your Microsoft 365 (Office 365) administrator must allow add-ins for your organization. If you do not see the option to install, contact your IT team.

  1. Confirm add-in installation is permitted by your Office 365 administrator.
  2. Open the Microsoft AppSource listing for the Crexendo VIP Meetings add-in:

  1. Follow the Microsoft App Store prompts to complete installation.

Schedule a VIP Meeting Within Outlook

  1. Open your Outlook Calendar and select New to create a calendar event.
  2. Enter meeting details (title, attendees, date/time, etc.).
  3. Select the Crexendo VIP application from the toolbar.
  4. Select Add a Meeting to populate the invite with VIP Meetings join information.

FAQs & Troubleshooting

I can’t install the Outlook add-in. What should I do?

  • Verify your Office 365 administrator allows add-ins.
  • Try installing from Outlook on the web (if your organization prefers centralized deployment).
  • If the add-in is restricted, contact your IT administrator.
 
 

Can I join without a Crexendo login?

Yes. If enabled for your meeting, you can join as a guest using a meeting link or access code.

 
 

Where do I find the meeting link/details to share?

Inside a meeting, open Meeting Information to view and copy the meeting details (including participant info and join details) to share.

 
 

My audio or camera isn’t working.

  • Open Meeting Settings and confirm the correct microphone/camera is selected.
  • Check browser/app permissions to allow microphone and camera access.
  • Close other apps that may be using your camera/microphone.
  • If on Wi-Fi, try moving closer to your router or switching networks.
