How To: VIP Portal - Set Up and Use Express Hotdesking

Objective

This feature will allow customers to sign in to hotdesking devices and see the line keys update with their current name and extension information on the display.

Setup for the users is identical to the following process:

IMPORTANT: Express Hotdesking is currently only supported on 3 and 4-digit extensions. Reach out to SD3 if 5 or more digits are required for hotdesking support.

 

Once you have followed the steps in the previous article to set up the users and assigned devices to them, you will need to add a few commands to line 1 of the device to allow the line keys to update with the name and extension of the user.

Eligibility

This new feature does not require users to be a Call Center Agent; they can be any scope, allowing them to use express hot desking.
 

Procedure

  1. On any SNAPbuilder-enabled phone model, navigate to SNAPbuilder and add a custom label line appearance key as follows. SNAPbuilder will read this label and fill in the tokens accordingly.

    Once you have added and resynced the settings, the device will download the new configuration and may prompt you to reboot.
     
  2. Set up speed dial buttons on the device for *43 and *44 for hotdesk sign-in and out
  3. When signing in to the new hotdesking feature, you will dial *43 and then connect the call. 

    When the call is established, it will prompt you to enter your account number. This will be the extension you wish to use with hotdesking.

    NOTE: Hot desk extension is 1000; your account number would be your extension number 100

     
  4. Once you have entered your account number, you will need to enter your voicemail PIN to verify the phone.
  5. The automated voice will read off the device owner and the account number you are signing into. Press 2 to confirm, and the device will begin the sign-in process.

    Your device will then prompt for a reboot and display the name and extension of the account number you signed into the hot desk extension.
     
  6. The sign-out process with *44 will prompt you to enter your voicemail PIN to confirm sign-out.

If your device doesn't update the display or you don't see the device reboot, go back to step 1 and make sure the new custom label pieces have been added to the device on line 1.
